As you can see we have moved our quarterly newsletter from paper to electronic format! This newsletter is designed to keep you informed of the imaging industry as it relates to records management. We welcome any comments from our users and partners on how we can better serve your needs.

Since many of our clients and partners have multiple locations, we will continue to share with you our growing list of new Certified Strategic Partners and their areas of speciality. Over the last year, because of our partner's diversity of locations and services, we have been successfully engaged in providing services to both national and international accounts.

Grants available for Health Service professionals! Health Service professionals desiring to implement electronic medical records systems may apply for grants. The House passed a bill that would spend $40 million over five years to help physicians buy new technology. The Senate wants to spend $150 million. The two sides are expected to haggle before November. The Bush administration has called for electronic medical records by 2014 –Source: Today’s Local News- San Diego, CA August 3, 2006. CCHIT – Commission Certification for Health Information Technology creates standards for electronic health records (EHR). New certifications are being issued to software vendors. For more information click here.

A&H Data
A&H Data Management, LLC - Located in Nederland, Texas and serves the greater Beaumont, Port Arthur and Orange areas. Charles Anselmo and Gil Hernandez, owners of A&H, have a wide range of clients but have taken a direct approach to the Health Services industry and is now providing scan on demand and backfile scanning services for their clients. Corporate Storage Systems - Located in Erlanger, KY is Global Archives newest Satellite Scan Station Partner, winning a large 10,000 box storage and imaging healthcare client to kick them off. This came about through the Global Archives business partnership network. A client of a Global Archives business partner-A&A Records, requested that we be able to provide services for his 17 remote divisions. Stay Safe Scan and Storage, Inc. – Headquartered in El Dorado Hills, CA is a Disabled Veteran Business Enterprise (DVBE) who partners with non-profit organizations nationwide. Stay Safe Scan has added imaging to their vast array of existing services and is utilizing Global Archives Satellite Scan Station for one of their existing partnerships. “The ability to add-on to the Satellite Scan Station protects our original investment and allows for easy expansion. We are already planning for our second scan station!” Jeff Tewksbury. Servicing the greater Sacramento, CA area, Stay Safe Scan is a prime and subcontract supplier to federal and state agencies. LA Records Management, Inc.- Global Archives is proud to announce its service partnership with LA Records Management, located in Sylmar, CA. LA Records is the Premier Information Management and Full-Service Records Storage Provider servicing the greater Los Angeles area. LA Records Management is utilizing Global Archives full production imaging services for their clients. They will be using Global Archives Satellite Scan Station to offer scan- on-demand and day-forward imaging services to their vast and impressive client base. Additionally, Global Archives is utilizing LA Records Management's hard- copy, transportation, indexing, and purging services for its local clients. Pouch Records Management- Located in Fullerton, California, Pouch is a large records management center serving the greater Orange County area. Pouch has expanded its services to add Global Archives Remote Backup for their clients and are currently evaluating imaging using the Global Archives Satellite Scan Station. Remote Backup enhanced email service is now available! By popular demand, we have added more reporting data to the standard email notification message in our Remote Back Up Report. In addition to the standard email notification of a successful/non successful backup, the upgrade details the number of new files added and their size together with the total backup volume. This upgrade is a no cost feature.

Remote Backup Services is an automated backup application that enables the user to set it and forget it. A simple, easy to use, client interface creates backup sets of distinct folders and files of network connected devices.

OMG-Chris
Orthopaedic Medical Group (OMG), a large medical group in West Covina, California with three locations had a health records management problem. Their paper records, roughly 15,000 charts, were being stored in a local self storage facility about 2 miles from their main office requiring daily trips to retrieve emergency and next day appointments. Over the years and because of the many changes in physicians, facilities and management, it became difficult to find records. Countless hours were wasted by key staff members to find and locate records. A new Administrator, Mary Wong Lee, was brought in to straighten out the system. Working closely with Chris Little, a 25+ year veteran with OMG, they began to systematically identify the problem and created a formal RFQ.

After the RFQ was issued, an award for the contract was made to Global Archives. The Global Archives task was to implement a new Medical Record storage system that included professional records center management, HIPAA compliancy, retention scheduling and establishing a conversion program for active charts. The Global Archives team first bar-coded each box, then indexed each and every chart with Patient Name, Medical Record Number, Last Date of Service, attending physician and other demographical information. Working with the IT staff at OMG, Global Archives imported the OMG databases with the new indexing information and delivered a simple, easy to use system for the OMG staff. The first task of organizing OMG records was complete. The next phase, implementing a retention schedule to comply with the States requirements was easily accomplished within the database.

All charts older than 7 years were set for destruction. This reduced the number of charts to manage by 40%. Working with an up to date database, OMG merely called for charts using the chart and box barcode number. Global Archives could then easily pull and scan the chart and post the images to OMG’s private LockBox in our secure online repository. Now OMG has their information in minutes rather than hours and their important staff is doing what they do best instead of hunting for charts. The final phase is under way, converting day forward charts to electronic images and storing in OMG’s private LockBox for easy, instant access. As an added feature, because Global Archives’ LockBox repositories are ODBC compliant, OMG can move the files from Global Archives with ease to any EHR compliant system.
