Regrettably, investing in expensive scanning equipment is not enough to make for a paperless* office. When it comes to implementing a departmental or production scanning system, methodology, expertise and appropriate staff allocation is necessary. Global Archives maintains staff equipped to perform (i) document preparation and file organization, (ii) scanning, (iii) quality control with individual image inspection, (iv) index data entry/ database validation and (v) re-assembly where required. We leverage barcode recognition, zoned field recognition, forms and data recognition and can integrate images into your existing applications. It’s our attention to detail that led to CalTech selecting us for the Einstein project – the digital conversion of the collected works of Albert Einstein.
Over the years we have enabled many of our clients to migrate from outsourced scanning services to in-house solutions. Should this option to streamline operations be best for our client we recommend it, often foregoing the scanning services revenue knowing that the best thing for our client invariably serves us best also. This often happens when larger “back-file” conversion work has been completed and the client is ready to undertake a day-forward approach in-house. Such was the case with Specialty Surgical Centers where for three years Global Archives converted and hosted medical records for their five facilities online.
When El Toro Naval Air base needed to convert its archive of policies and procedures regarding clean up of environmentally hazardous material, Global Archives was selected because of its proven track record, technical expertise and ability to reputation for responsiveness. The task was to organize, scan and convert to searchable PDF format in addition to online hosting of the more than 500,000 documents and engineering drawings. When the movement of physical files from their facility was not possible, Global Archives staged a scanning operation at their premises.
